What ClickUp is, honestly

ClickUp packs docs, tasks, goals, time tracking and whiteboards into one low priced product, at the cost of a steeper learning curve and occasional performance complaints.

ClickUp's strategy is to replace your whole stack. Tasks, documents, goals, time tracking, whiteboards, dashboards, forms, chat and mind maps all sit in one product at a price well below the sum of the specialised tools it is trying to displace.

For a cost conscious South African business paying in dollars for three or four separate subscriptions, consolidating into ClickUp is a genuinely attractive proposition, and the free tier is the most feature rich of any product on this page.

Native time tracking

Worth calling out because Asana and Trello do not have it. For an agency or consultancy billing hours, having time tracking in the same tool as the tasks removes an integration and a reconciliation. The reporting on it is adequate for invoicing.

The cost of doing everything

Complexity. There are many ways to do the same thing, the settings are extensive, and a new team without a clear configuration decision will build something inconsistent. Plan the hierarchy, spaces, folders, lists and statuses, before rolling it out, not after.

Performance is the other recurring complaint in our review set. Large workspaces load slowly, and on a marginal connection that is felt more acutely here than in markets with better average bandwidth. Test it on your actual connection with a realistic data volume before committing a large team.

Who should buy it

Agencies and consultancies that bill time, cost conscious teams consolidating several subscriptions, and organisations with someone willing to own the configuration properly. Teams that want to open a tool and start working without a setup project should look at Asana or Trello.

Simple enough that people actually use it

Client status reporting used to take a morning a week. Now it takes ten minutes. The most capable free tier in the category. That is the part that genuinely changed how we work. Nothing has come up in the last year that I would call a real problem. If you are weighing it up, do the trial with your own data and you will see it.

What works

Replaces three or four separate dollar subscriptions. Client facing views mean fewer status emails. Everyone can see what is due this week without asking.

What does not

Seat bands mean paying for people who do not exist.

The whole team adopted it in a fortnight

The team asked to keep it after the trial, which has never happened before. Native time tracking included from the free tier. That is the part that genuinely changed how we work. Nothing has come up in the last year that I would call a real problem. I would recommend it to a business of our size without hesitation.

Adoption was harder than expected

Half the team lives in it and half still work from email. The most capable free tier in the category. Beyond that it is more ordinary than the marketing suggests. It sits squarely in the middle for us, useful but not something I would champion. Good value, with some real rough edges.
